Thank you for your interest in the Student Project House.

Our space is designed to host interactive events. In the spirit of creating a vivid place, we welcome interested event organizers to talk to us about running your workshop, hackathon or networking event in the Student Project House. Both students and ETH employees are welcome to use the space. Special rules apply for external organizers. If you already know when your event will take place, how many participants are expected and which part of our space you would like to get access to, you can fill out the form below appropriately.

Information

General Conditions

All events in the Student Project House must meet the following criteria:

  1. The Organizer complies with the Student Project House conditions under point (1).
  2. The Event is compliant with the Student Project House message under point (2).
  3. The Event is compliant with the general ETH event conditions, referred to under point (3).

(1) Student Project House Conditions

Meeting

We are happy to hosts meetings of teams or dedicated students using our services to work on their projects. Please ensure that if you are booking our space for a meeting, you or your project affiliation in general are also compliant with the Student Project House message. Otherwise, the following conditions apply when booking a space for a meeting:

  1. In general, meetings should be under 2 hours in time.
  2. Meetings can not occur outside of the regular building opening hours (refer to FAQ).

Meetings can otherwise be booked at any moment, as long as the space is not occupied.

Event

Many of the events in the Student Project House are hosted and co-hosted events. We believe that we can better reach the goal of the Student Project House if we work together and find synergies. Therefore, we are curious to hear about your event idea. When hosting an event, please ensure that the following time restrictions are held:

  1. Your application arrives 6 weeks in advance when requiring full support (please refer to the FAQ for more information).
  2. Your application arrives 5 weeks in advance when requiring small support.
  3. Your application arrives 4 weeks in advance when requiring no support.
  4. You supply your ETH permit (if required, see below) to the SPH no later than one week before the event begins.
  5. You supply any secondary requested information to the SPH no later than one week before the event begins (see "Instructions: Event" below).
  6. The event clean-up occurs directly after the event is over.

Please ensure that your event is also compliant with the following requirements:

  1. The target audience is comprised of at least 60% ETH members.
  2. The event is planned for at least 20 persons.
  3. The event is open to the general ETH community (no team events or parties).

Course

Every semester we can support a few courses in the Student Project House. We are especially interested in supporting courses in which students develop ideas to real-world challenges and where they are given the opportunity to take ownership of their project. Such courses offer an ideal interface to the project support opportunities in the Student Project House. We also host other courses that fit with any of the points below:

  1. Teamwork or Workshop format (there are plenty of lecture rooms at ETH already)
  2. Project-based work
  3. Students actively gain skills in realizing project and building prototypes.

You can choose to host all group work sessions or just mid and/or final events in our space. Please make sure you meet our application deadline.

  • Autumn Semester: June 15th
  • Spring Semester: December 15th

(2) Student Project House Message

The host confirms that their reservation complies with the following statement:*

I confirm that this event fits the mission of the Student Project House:

  • .. to inspire students to find solutions to real-world problems.
  • ... to connect the ETH Community across disciplines and hierarchies.
  • ... to provide resources and develop skills to build prototypes.
  • ... to support students in realizing ideas in teams, thereby giving them an opportunity to learn important skills.

I also confirm that this event does not:

  • ... include the themes: atomic power, politics, animal testing, nano technology, religion, climate science, genetics, weapons and military, immigration.
  • ... exist for the purpose of selling products or similar commercial activities.

* Outside of the semester, we are open to host more diverse events, such as summer schools. Feel free to inquire more if you have a concrete idea.

(3) ETH Event Conditions

Under some circumstances, event organizers must apply for an additional permit from the ETH to host their event. The Student Project House reservation system is only to reserve the room, but not to apply for a permit to host the event at ETH in general. The ETH has additional conditions when hosting events in general, to which the organizer must comply. You will be referred to these below.

In general, the organizer must comply with the following statements:

  • The event must correspond to the reputation of the ETH.
  • External organizers need to be supported by ETH itself or organizations close to ETH (e.g. student associations) – cf. patronages

  6. Ensure that the requested slot has been properly marked in the general reservation calendar.
Instructions: Event

To book an event at the Student Project House, there are two steps:

Step 1: General Information

  1. Ensure that you have read and are compliant with our general conditions.
  2. Check if your event requires a permit from the ETH, and apply for that permit.
  3. Make sure that the slot you wish to reserve is available in the reservation calendar.
  4. Go to the form below and select your affiliation (and possibly the reservation type).
  5. Fill out the details and submit the form.
  6. Wait for approval from the Student Project House.

The form should notify you when you're filling it out that a permit is required.

As soon as the reservation request is approved, you will be notified per E-Mail and your reservation will appear in the public reservation calendar (slot is blocked).

You will also receive a request per E-Mail to fill out a second form with extra details about your event (e.g. poster graphics, public descriptions).

Step 2: Detailed Information

  1. Fill out and submit the second form by the time specified in our general conditions.
  2. Return the ETH permit by the time specified in our general conditions.

The event can then occur normally

Status Tool

The reservation status tool is there to help you easily manage your event information.

After successful submission and subsequent approval of your event request, you can use your reservation key to log-in to the status tool and manage your reservation request.

You can view all information that you submitted, as well as the status and visibility of your reservation.

Additionally, you can delete your request, upload a permit file (for events) or submit a feedback form.

Each space comes with materials and infrastructure that is at the disposal of event organizers. Only the Foyer, Blue Sky, Stage One and Stage Two spaces are bookable under regular circumstances. Additional writing materials, seating or flip-charts can be requested from the SPH Team if required.

The Student Project House has a variety of writing materials available that can be used for your event. Additionally, there are male and female bathrooms in the HPZ that can be used by event organizers. We have coat racks that can be used for guests. The Student Project House and all spaces are accessible by wheelchair.

FAQ - Frequently Asked Questions

How long do I need to book an event in advance?
  • 4 weeks: If you just want to book a room for events.
  • 5 weeks: If you additionally require small support.
  • 6 weeks: If you additionally require personell such as Makerspace Experts, etc.

Meetings can be booked at any moment by ETH affiliated persons.

ETH Courses have fixed registration dates, stated in our general conditions.

Where do I apply for ETH approval?

Under what circumstances do I need ETH approval?
  • With more than 50 people
  • If the event is or has any type of exhibition

What can I do about parking?

What kind of materials are available in the spaces?

The materials and infrastructure for each space are listed above in our space descriptions.

Any other materials required will have to be supplied by yourself.

Only the infrastructure listed in the space details above are available for each space.

It is possible to purchase construction and prototyping materials from the Student Project House.

When can I book a room?
For how long can I book a room?

There are no restrictions in the duration. However, please take into consideration the need for room of others.

In general, when booking a meeting, we prefer if you can keep the length 2 hours or under.

Who can book a room?

In general, only ETH Staff and ETH Students can book a room.

We can only host events with a direct connection to the SPH or its community.

What are the building's open-hours?

The HPZ building is open:

  • Monday to Friday: 08:00 - 20:00

On weekends, we are closed (only the Makerspace is open to students).

What do I do if there is a problem with the reservation system?

What do "manual release" and "automatic release" mean in the form?

If you select automatic release, you event will automatically appear in our reservation calendar and event calendar, once it is approved by our team.

If you select manual release, your selected time-slot will be blocked in the reservation calendar upon approval, but the published event and the event details will be hidden until it is manually "published".

What catering oppurtunities are available at the ETH?

What is "24-hour-access" to the building?

Events that occur outside of our building hours require an ETH permit but are possible. If the event itself is within the building hours, but you still require access outside of the building hours (e.g. for set-up or afterwards), you will not require a permit (for the building hours) but will require 24-hour building access.

You can apply for 24-hour access to our building. Please beware that this may take up to 2 weeks. When you were granted 24-hour access, you can enter the building with your student- or staff-card outside of the official opening hours.

What is no support / small support / full support?
  • No support: Only booking of the room
  • Small support: Consulting for event planning & visit of the location prior to the event
  • Full support: Consulting for event planning, visit of the location prior to the event & personell (e.g. Makerspace Managers)
